Company Policies
Eco Systems Group installs solar panels, battery storage and insulation for homeowners, housing associations, councils and main contractors. These are the policies that govern how we work, summarised for our clients, residents and supply chain partners.
Health, safety and operational management
We are committed to protecting the health, safety and welfare of our employees, subcontractors, customers, residents, visitors and anyone else affected by our work. Our Health, Safety & Operational Management Manual brings together health and safety, quality management and our PAS 2030, PAS 2035 and MCS requirements. We will:
- provide safe systems of work, and assess and control risks before work starts
- brief everyone on site on the risk assessment and method statement (RAMS) before they begin
- make sure work is carried out by trained, competent people, with supervision and regular toolbox talks
- maintain safe plant, tools and equipment, and suitable welfare arrangements on every job
- consult with our employees and subcontractors
- report and investigate accidents, incidents and near misses
- monitor performance through inspections, audits and management review, and keep improving
We work in line with the Health and Safety at Work etc. Act 1974, the Construction (Design and Management) Regulations 2015, the Building Safety Act 2022, the Working at Height Regulations 2005 and other applicable legislation and industry requirements. The Directors take overall responsibility for this policy.
Environmental policy
Our work helps homes and housing providers cut energy use and carbon emissions, and we hold our own operations to the same standard. We manage our environmental impact in line with PAS 2030, PAS 2035 and MCS requirements, and we:
- identify and control the environmental impacts of our work
- reduce waste and increase recycling and material recovery
- dispose of insulation materials, packaging, electrical waste and batteries responsibly, using authorised waste carriers
- prevent pollution, and report and act on any environmental incident
- comply with all applicable environmental legislation
- train our teams in waste management, pollution prevention and sustainable procurement
Our commitment to reducing our own emissions is set out in our Carbon Reduction Plan.
Environmental, social and governance (ESG)
As a provider of renewable energy, retrofit and energy efficiency solutions, we aim to reduce environmental impact, create positive social outcomes and run the business responsibly. That includes:
- People: a safe and healthy workplace, employee wellbeing, and investment in training and competence
- Social value: supporting local employment and using local suppliers and SMEs where practicable
- Inclusion: equality of opportunity and a workplace free from discrimination and harassment
- Governance: ethical business conduct, effective management controls and compliance with client, regulatory and industry requirements
Modern slavery and human trafficking
We have a zero-tolerance approach to modern slavery, forced labour and human trafficking in our business and our supply chain. We:
- make sure all employment is freely chosen, lawful and fairly paid, and that workers keep control of their own identity documents
- carry out right-to-work checks, and never charge workers recruitment fees
- expect our suppliers and subcontractors to share these standards, and may ask them to confirm they comply
- will investigate any concern and end business relationships where modern slavery is found
Anyone can report a concern without fear of retaliation. Reports are taken seriously, investigated and handled confidentially wherever possible.
Anti-fraud, bribery and corruption
We have a zero-tolerance policy for fraud, bribery and corruption, and we act honestly and ethically in all our business dealings. Our policy applies to our directors, employees, subcontractors and anyone working on our behalf. It covers bribes, gifts and hospitality, facilitation payments and political contributions:
- no one may offer, give, request or accept a bribe, directly or through a third party
- cash gifts, and gifts that suggest a favour in return, are not accepted
- we make no political donations
- suspected breaches must be reported, and breaches lead to disciplinary action or the end of a contract
Equality, diversity and inclusion
We are committed to equal opportunities in recruitment, training, promotion and the way we treat everyone who works with us. People are selected and treated on their merits and abilities, and no one receives less favourable treatment because of a protected characteristic under the Equality Act 2010. We do not tolerate discrimination, harassment or victimisation, and we extend the same respect to every customer and resident whose home we work in.
Whistleblowing
We encourage employees, contractors and other stakeholders to raise concerns about wrongdoing, such as fraud, bribery, health and safety breaches, environmental harm, discrimination or any other unlawful or unethical conduct, as early as possible. Concerns can be raised with a line manager or our designated Whistleblowing Officer, and are handled confidentially. Anyone raising a concern in good faith is protected from retaliation, in line with the Public Interest Disclosure Act 1998. Every concern is assessed, investigated impartially where needed, and acted on.
Data protection
We protect the personal information entrusted to us by customers, residents, employees and partners, and comply with the UK GDPR and the Data Protection Act 2018. We collect only what we need, keep it secure and accurate, retain it no longer than necessary, and respect people's rights over their data, including subject access requests. How we use personal data from this website is explained in our Privacy Policy.
